- Information We Collect — Website Information: Zenvoice may collect limited information from Website visitors, including: name, company, email address, and other information voluntarily submitted through inquiries or requests; basic technical information such as IP address, browser type, device information, and similar information collected through standard web technologies. Customer Data: In providing the Services, Zenvoice may process customer-provided business information that includes: names and professional contact information; invoice and billing information; timekeeper information; matter-related information; narratives and related legal-billing information; and other information provided by customers or authorized representatives. - How We Use Information — Zenvoice uses information as reasonably necessary to: provide, operate, maintain, and support the Website and Services; perform authorized analysis and processing requested by customers; respond to inquiries and communicate with customers and prospective customers; protect and monitor Zenvoice systems and information; improve the operation, reliability, and security of the Services; manage business and customer relationships; and comply with applicable legal and contractual obligations. 4.
- Data Sharing and Service Providers — Zenvoice does not sell personal information. Zenvoice may disclose information to: approved service providers and subprocessors that support hosting, storage, security, collaboration, AI-assisted processing, monitoring, and other authorized service-delivery functions; governmental or legal authorities where required by applicable law or valid legal process; and parties involved in a merger, acquisition, financing, restructuring, or similar transaction, subject to appropriate protections. Data Protection: encryption of sensitive information in transit and at rest; least-privilege access; multi-factor authentication for company systems where supported; unique user accounts and restricted privileged access; logical separation of customer data; controlled retention and deletion procedures; and access limited to authorized personnel and approved service providers. Infrastructure Security: controlled administrative access; secure network configuration and segmentation; encryption; security logging and monitoring; threat-detection capabilities; controlled production access; and backup and recovery procedures. Zenvoice reviews its security configuration as the platform and operating environment evolve. Endpoint and Access Security: unique user accounts; prohibition on shared credentials; full-disk encryption on managed endpoints; operating-system and security updates; endpoint security protection; multi-factor authentication where applicable; least-privilege access; and timely provisioning, modification, and revocation of access. Zenvoice periodically reviews user access to confirm that access remains appropriate to current roles and responsibilities. Secure Software Development: controlled source-code repositories; restricted developer access; version control; change-management and CI/CD practices; code and configuration review; vulnerability scanning; and risk-based remediation and verification of identified vulnerabilities. Security findings are evaluated based on severity, exposure, and business risk and are tracked through appropriate resolution. Monitoring and Incident Response: identification and triage; investigation; containment; remediation; recovery; escalation; appropriate customer or external communications; and post-incident review and corrective action. Incident-response procedures are periodically tested. Business Continuity and Disaster Recovery: Zenvoice maintains business-continuity and disaster-recovery procedures designed to support restoration of critical services following disruption and to preserve the confidentiality, integrity, and availability of customer information. Recovery responsibilities and procedures are periodically reviewed and tested through exercises. 6.
- AI and Customer Data — Zenvoice uses approved AI services for authorized, purpose-limited inference and related business workflows. Zenvoice does not use customer data to train, retrain, fine-tune, or improve shared AI models. Customer-specific data and outputs are not intentionally reused across customer engagements, and Zenvoice maintains controls designed to preserve separation of customer information. AI providers are subject to Zenvoice's vendor-security and data-use review processes. 7.
- Vendor Security — Zenvoice maintains a risk-based third-party security-management process. Relevant providers are evaluated based on factors including: data access; operational criticality; security practices; independent security assurance, such as SOC or ISO reports where available; contractual protections; and the nature of the services provided. Zenvoice periodically reviews higher-risk providers and maintains records supporting its vendor-security assessments. 8.
- Data Retention and Deletion — Zenvoice retains information only for as long as reasonably necessary for authorized business purposes or as required by applicable law or contractual obligations. Customer data is retained and deleted in accordance with applicable customer instructions, agreements, and Zenvoice retention and deletion procedures. 9.
- International Data Transfers — Information may be processed in the United States or other locations in which approved service providers operate. Where applicable law requires specific safeguards for international transfers of personal information, Zenvoice applies appropriate contractual or other transfer mechanisms. 10.

Requests concerning personal information contained in customer-controlled datasets should generally be directed to the applicable Zenvoice customer. Depending on applicable law, rights may include access, correction, deletion, restriction, objection, portability, or withdrawal of consent where applicable. 11.
- Cookies and Tracking Technologies — The Zenvoice Website may use limited cookies and similar technologies for functionality, security, performance, and analytics. Users may control certain cookies through browser settings and other available controls. 12.
- Children's Information — Zenvoice's Services are intended for businesses and organizations and are not directed to children. Zenvoice does not knowingly collect personal information from children under 13 through its Services. 13.

Zenvoice is currently completing SOC 2 Type I readiness and preparing for independent examination. Zenvoice maintains security policies, control ownership, risk assessments, access reviews, vendor-security reviews, vulnerability-management processes, incident-response procedures, business-continuity procedures, and supporting evidence as part of its security program.
